I was looking through some of my old PM's from the past and I came across this one from Joe T. about the Punch Buggy Show, It was so well done and informative I just had to pass it along for everyone to read.

 PUNCH BUGGY (ATCO) 2010

TIME AND PLACE: Atco, June 27, 2010.

This report will cover:
   
   1.  What?s was needed to run the show.
   2.  Suggestions on what members should bring
   3.  Food for the troops and the cost.
   4.  Food left over.
   5.  T- shirt sales ?Punch Buggy.
   6.  T-shirt Sales ?Charity ?Wounded Warriors?
   7.  Plaques and misc.
   8.  Swap meet sales
   9.  What were the results?-What went right what went wrong,
 10. Suggestions for next year.
 11. Outstanding Members
 
1, WHAT WAS NEEDED TO RUN THE SHOW.

20 Plus members showed up at 6:30AM. More members came later. We had no trouble filling all positions. There was relief to those who needed it and the rotation worked, if the show were bigger we will need more judges,

THREE (3) LARGE TENTS MINIMUM: 1.Swap meet, 2.T-shirt sales and
 3. Registration.
 
Registration Forms, Cards for the window, judging cards

Change: Lots of one dollar and five dollar bills.

3-10 trophies for Peoples choice, 2 trophies for best looking race cars

Ballot box, Pens, pencils, Magic Markers, sign boards.

(6) Clip boards and Calculators

2-3 Table cloths for the tables. Tarps for the swap meet.



2. SUGGESTION FOR WHAT EVERY MEMBER SHOULD BRING

Everyone before the event should have an idea as to what he will be doing and if he is judging- what class. Also Water, hat, sunscreen, a folding chair, camera, cell phone, swap meet parts, money and a firm commitment.


3. FOOD ITEMS TO FEED THE MEMBERS AND THE COST.

One big grill or two (2) small ones. Propane is OK
Two (2) coolers (ice chests)
BBQ fork and a Spatula
One gallon of coffee with all accompaniments
Four Dozen Donuts
60 frozen Hamburger patties
60 Hot dogs
60 Hamburger rolls
60 Hotdog rolls
Condiments :Mustard, relish, sauerkraut, BBQ Sauce, Salt and Pepper.
Napkins and Paper Plates.
ICE to fill both ice chests
2 cases of bottled water.
5 gallon water container???

                                         Food Costs:    Entenmanns Outlet= $17

                                                          Total= $66.15

4. Food left over.

(Because it was a hot day people drank a lot more than they ate.)

Coffee ?
Hamburgers-less than 2 dozen
Hot dogs ? 2 packs
Rolls ? 2 bags ? ruined in the sun.
Donuts -2 boxes
Water- 3 bottles.

Next year more water less hamburgers and hot dogs.
(That is based on a 20 member crew)

(we paid about $4.55 per shirt.)

 (Cephus did not want his share,( it was to be a 60/40 split- the club taking 60%)

9. Results of our actions- Observations

  We were very successful (our first time) with only two unhappy participates.

Our club supplied 10 trophies for our members in the people choice. Only the participates of the show that register were allowed to vote. Our club members were not allowed to be in the show.

How much money to the club from Cephus?

It was very hot. Heat was our biggest enemy.

We had the Worse Attendance of all Time.

More air-cooled cars than water-cooled.

Good drag racing participation.



Cool waters president last year (2009) was a guy named Jim Krupnick, Apparently he was no longer the in charge this year. That screw up the water cooled participation somewhat as well as other events the same day Englishtown).

 

10. Improvements For Next Year

Bull- horn or amp and mike for announcements and trophy awards

Judges picked before the show.

 Walki- Talkies for better communication

Make sure we do an actual meeting with the Water-Cooled club.

Someone (or two)  (with a personality) sitting or standing in front of the tent to welcome people who are  interested in the club or a T-shirt.


A SEPARATE RAT ROD CLASS- How to judge? Suggestions based on the 10 point system: Wow Factor. Innovations (Use of non-conventional items), Paint: (patina, primer )
Radical factor i.e. chopped, channeled. Front end (i.e. Ford Axel, extended front end). Engine (lack of billet) . rust factor (negative points?) Interior ?based on perception ( i.e. Indian blanket vs. springs showing in seat?)

FOR PEOPLE CHOICE AWARDS.
A SPACE ON THE CARD FOR THE  OWNER?S NAME AND CAR

.   One thing that could be improved is the club perception.
Our clubs clickyness- It was not intended. But I saw it. People would go by and finger the shirts and no one in our group jumped up and say hello or try and sell the shirts. We just sat around in a huddle talking among ourselves not paying attention to the interested people looking over our tent. Next year we should have someone manning what I would call the ?hospitality chair?. Say: "Hello, can we tell you about our club?, We have a great deal on collective T-shirts" "Our dues are cheap for what you get out of this club" ?Well, you get the idea.  Let me give you a for instance. I was talking to the guy with the Rat Rod and his two kids Dillon and Kevin, some time later they came to the tent and no one paid any attention to them. I was sitting in the back for a quick rest and when I saw them I got up and said hello and gave them the soft sell. They bought 3 shirts. How many more could we have sold by just saying "Hello, what name? where you form, great buy on these collector shirts" etc, etc. 
 
  Cephus heard about the trophy's we gave out to the best looking Drag racers. I personally have never seen such grateful recipients. You might think we gave them a million dollars. Remember it had our name on it. You can?t buy that kind of publicity.

Post cards next year ? Waste of money? Could the money be better spent?

How can we make the heat work for us? Big blurb: we have Tents? Free water? FREE  ICE CREAM??

SOME OF Bobs, Johns and Joe?s suggestions from their e-mails

Get more local sponsors and do more promotions.

1.   Next year start promoting early like January. Cherry Hill VW was interested in promoting the event. I think we may be able to get Prestige and Pole Tavern VW interested.
 also.Garbendello?s speed shop, Taylor?s Bar and Grill, local banks, Fudrukkers, Dairy Queen, Checkers, Moes etc etc, These guys all have a history of supporting car events
 
2). Clean up the mailing list and try to get current club membership list such as ourselves, Jeff at CJVWS Coolwater, and anybody else (racers ) involved with VW?s. We have a guy in the club who does mailings so he might want to talk with him for ideas.
 
3). Jack from Bugstuff  was disappointed with the turnout but he said he?s willing to do anything he can to keep the show going he just needs to hear from Cephus. That means more general meetings of everyone connected with the show, seems to be lots of lost or mis-communications going on.
 

1). We need a bit more organization. We could have had judges ready to go before the show. I sent you guys a list of who judged last year but most of those people were not asked before the show only Sunday morning. Think this could have been handled smoother. We should have started recruiting help at the March, April & May meetings as well as in June. It wouldn't hurt to hold a members meeting a week or so before the show just so everybody who is helping knows what to expect.
 
2). I think we did great but if 100 more cars would have showed up it might have been a different story. Again better organization and delegating jobs before the show could help out.
 
3). Money - where do I begin? Think we missed the mark on this one but again its not that we didn't think things out, its just how the show turned out. Suggest we try to sell as many of the remaining shirts as possible.
 
As a club I think the show was a success, we got our feet wet and showed lots of folks we were up for the challenge. I noticed a couple of good post on the Samba and i also posted a couple of things so that?s a start. I hope the experience helped to unify the club.
 
  I think the biggest improvement we can make is what we wanted to do in the first place and that is promote locally but Cephus gave the impression that somehow we were going to steal from him. He was late with paper work. It was these two items that torpedoed our initial enthusiasm.

  As far as Watercooled promotion perhaps Cephus should team up with Mark (Wildwood show) Now they had a huge water cooled  turnout on the Boardwalk..
